How to export from QuickBooks

In QuickBooks Desktop: Lists → Chart of Accounts → Reports button → Account Listing, then Export to Excel. The file needs columns: Account, Type, Accnt. #, Tax Line.

How should existing accounts be handled?

Replace (safe wipe) — Recommended for fresh QB migrations

Upsert QB accounts, then delete any existing account that's not in this COA AND not referenced by any GL transaction or bank account. Orphan groups are cleaned up.

Additive (merge)

Upsert QB accounts, leave everything else alone. Use when adding QB data to an existing GENUS company that already has live transactions.

Hard wipe — ⚠ Dangerous

Delete every chartmaster/accountgroups row not in this COA, regardless of references. Only use on a brand-new database with no real history. May break system references.
